Privacy notice
This notice explains what personal information Butterfly Cottage and Garden Park Guest House collect, why, and what happens to it when you visit this website, get in touch, or book a stay. It is written in plain language on purpose — if anything is unclear, email us and we'll explain it properly.

Who we are
Butterfly Cottage is a self-catering property in the grounds of Garden Park Guest House, run by Sarah and Daniel.

For data protection purposes, we are the "controller" of the personal information described in this notice. Based on the ICO's own self-assessment, we are exempt from the data protection fee and are not required to register with them.
What we collect, and why
This website itself has no forms, no account system and sets no cookies. It does not collect anything about you automatically. We only hold personal information when you give it to us directly, or when it reaches us through a booking.
- You email or call us. We keep your name, contact details and the content of the conversation, so we can answer you and, if you book, prepare for your stay. Legal basis: our legitimate interest in responding to enquiries, and taking steps toward a contract with you.
- You book a stay. Bookings are handled by Freetobook, not by this website — see the next section. We receive your name, contact details, arrival and departure dates, and anything you tell us that is relevant to your stay (dietary needs, a dog travelling with you, and so on). Legal basis: performance of the booking contract.
- Tax and accounting records. Booking and payment records are kept for our bookkeeping and to meet HMRC requirements. Legal basis: legal obligation.
- Newsletter. If you have stayed with us, we may occasionally email you about the cottage or the guest house — no more than a couple of times a year. Legal basis: the "soft opt-in" that UK law allows for existing customers, since your email reached us through a booking, the newsletter is about our own similar services, and you can opt out at any time. Every newsletter tells you how to opt out: email info@garden-park.co.uk with "unsubscribe". Once we receive that, we stop emailing you and delete your address from our list rather than just marking it as opted out.
We do not sell or rent your information to anyone, or share it with third parties for their own marketing.
Booking through Freetobook
The "Check availability" links on this site take you to booking-directly.com, which runs on Freetobook, an independent booking platform. Once you leave this website and land on that page, Freetobook is the controller of whatever you enter there — your name, contact details, dates and payment information are handled under Freetobook's own guest privacy policy, not this one. We receive the booking details we need from Freetobook to prepare your stay and hand over the keys.
Card payments are processed by Stripe as part of the Freetobook checkout. We never see or store your full card details ourselves; Stripe handles that under its own privacy policy.
Our guest reviews, shown on this site and linked from it, are also collected and published by Freetobook after a stay, again under Freetobook's own policy.
Cookies and tracking
This website does not use cookies, does not run analytics or advertising scripts, and does not track visitors in any way. That is also why there is no cookie banner — there is nothing on this site that needs your consent.
Embedded and linked content
A few parts of the site load content from, or link out to, other services. None of them receive anything from you beyond the standard technical information any website request carries, such as your IP address and browser type.

Video tour. The cottage video is hosted on YouTube in
privacy-enhanced mode (
youtube-nocookie.com). Nothing is requested from YouTube until you press play. - Interactive Highland map. The map page loads Google Fonts, map tiles from CARTO and OpenStreetMap, the Leaflet mapping library from a public code delivery network (unpkg), and a weather forecast for Grantown-on-Spey from Open-Meteo. These load automatically when that page opens. If you generate a QR code to share the map, the link is sent to api.qrserver.com to draw the code; this only happens if you ask for it.
- Outbound links. Links to Facebook, YouTube, Tripadvisor, Google Maps and Google Reviews, and to local attractions, distilleries and businesses mentioned on the site, take you to pages we do not control. Once you click through, that site's own privacy policy applies, not ours.
Fonts
The typefaces on the main pages of this site are stored on our own server, not loaded from a font provider, so visiting this website does not send your IP address to a third party for that purpose. (The separate interactive map page is an exception — see above.)
Who we share information with
Freetobook and Stripe, to take and fulfil a booking and payment. Our accountant, for bookkeeping. The newsletter is sent directly by us using an ordinary email program (Thunderbird), not through a third-party mailing list service. Nobody else, unless the law requires it of us.
Some of these providers, and some of the services listed under embedded content above, may process information outside the UK. Where that happens, they are responsible for putting appropriate safeguards in place under data protection law.
How long we keep it
Enquiries that do not turn into a booking: up to 24 months, then deleted. Booking and payment records: 6 years, in line with HMRC record-keeping requirements. Your email address for the newsletter: until you unsubscribe or ask us to remove it. After that, we delete or anonymise what we hold.
Your rights
Under UK data protection law, you can ask us to:
- show you the personal information we hold about you;
- correct it, if it is wrong or out of date;
- delete it, where we are not required to keep it for legal reasons;
- restrict or object to how we use it;
- give you a copy in a portable format.
To ask any of this, email relax@butterfly-cottage.co.uk. We will normally respond within one month.
If you are not satisfied with how we have handled your information, you can complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), 0303 123 1113. If you are visiting from the EU, you may also have the right to complain to your own national data protection authority.
Changes to this notice
We review this notice at least once a year, or sooner if something on the site changes in a way that affects it. The date at the top shows when it was last updated.
